Rewired Mindset respects your privacy and is committed to protecting your personal information.

This Privacy Policy explains what information I may collect about you, why I collect it, how it is used and stored, and the rights you have in relation to your personal data.

Rewired Mindset is operated by Dave Williams as a sole trader. For the purposes of UK data protection law, I am the data controller for the personal information described in this policy.

Information I may collect

The information I collect will depend on how you interact with Rewired Mindset.

If you contact me through the website, by email or by another agreed method, I may collect information such as:

  • your name;

  • your email address and other contact information;

  • information you provide through the contact form;

  • correspondence between us; and

  • information you choose to provide about why you are considering coaching.

If you become a coaching client, I may also hold:

  • information gathered during an initial discovery conversation;

  • your coaching agreement;

  • relevant coaching notes;

  • agreed goals, actions or reflections;

  • records of resources or handouts provided;

  • appointment and communication records; and

  • payment and transaction information.

I aim to collect only information that is relevant and reasonably necessary for providing coaching and managing the coaching relationship.

Coaching notes and sensitive information

Coaching conversations can sometimes involve personal or sensitive subjects.

You may choose to discuss information relating to your physical or mental health, beliefs or other aspects of your personal circumstances. Some of this may be considered special category personal data under UK data protection law.

Where relevant information of this kind is recorded, I will aim to keep notes proportionate and limited to what is genuinely useful for the coaching relationship.

Where UK data protection law requires an additional condition for processing special category information, this will be identified and documented appropriately. Where explicit consent is relied upon, this will be obtained separately and clearly.

Why I use your information

Your personal information may be used to:

  • respond to enquiries;

  • arrange discovery conversations and coaching sessions;

  • provide coaching services;

  • maintain appropriate records of our work together;

  • communicate with you about appointments or agreed actions;

  • provide relevant coaching resources;

  • process and maintain records of payments;

  • manage the administration of Rewired Mindset;

  • meet legal, accounting or regulatory obligations; and

  • protect the legitimate interests of Rewired Mindset or its clients where appropriate.

Your personal information will not be sold to third parties.

I am not currently using client or enquiry information to send newsletters or general marketing emails. If this changes in the future, this Privacy Policy will be updated and any consent required will be obtained.

Lawful basis for using your information

Depending on the circumstances, I may process personal information because:

It is necessary to take steps at your request or fulfil our coaching agreement.
For example, when arranging coaching or providing coaching services.

I have a legitimate interest in doing so.
For example, responding to enquiries, maintaining proportionate business records, communicating with clients and managing Rewired Mindset effectively.

I have a legal obligation.
For example, where certain financial records must be retained for tax or accounting purposes.

You have given consent.
This may apply in circumstances where consent is the appropriate lawful basis or where explicit consent is required for particular sensitive information.

How your information is stored

Electronic client records are primarily stored using Microsoft OneDrive and associated Microsoft services.

Reasonable steps are taken to protect personal information from unauthorised access, accidental loss, misuse or disclosure.

Access to client information is limited to what is necessary for operating Rewired Mindset and providing coaching services.

Sharing your information

Your personal information will not routinely be shared with other people or organisations.

Information may, however, be processed by service providers used to operate Rewired Mindset, including Microsoft for email and electronic storage, and Framer for operating the website and contact form.

These organisations may act as data processors or service providers and handle information as necessary to provide their services.

Information may also be disclosed where:

  • I am legally required to do so;

  • disclosure is necessary to establish, exercise or defend legal rights; or

  • there is another lawful basis requiring or permitting disclosure.

Where possible and appropriate, I would aim to discuss an exceptional disclosure with you beforehand.

Payments

Payments for coaching may be made by bank transfer or cash.

Rewired Mindset does not currently collect or store payment-card details.

Financial and transaction records may be retained where necessary for accounting, taxation and other legal obligations.

How long your information is kept

I do not intend to keep personal information indefinitely.

As a general guide:

Enquiries that do not lead to coaching
Information will normally be deleted within 12 months of the last meaningful contact, unless there is a legitimate reason to retain it for longer.

Discovery information for people who do not become clients
Normally retained for no longer than 12 months.

Active coaching records
Retained while coaching is taking place.

Coaching notes and associated client records
Normally retained for up to 3 years after the coaching relationship ends, unless there is a legal or other legitimate reason requiring a different period.

Financial, contractual and essential business records
Certain records may be retained for up to 6 years, or longer where required by law.

When information is no longer required, it will be securely deleted or destroyed.

Website and contact forms

The Rewired Mindset website is built and hosted using Framer.

If you submit an enquiry through the website contact form, the information you enter will be used to respond to your enquiry and, where appropriate, arrange further contact.

Please avoid including highly sensitive personal information in the initial website contact form. More detailed information can be discussed privately if we decide to arrange a conversation.

Website analytics and cookies

The Rewired Mindset website uses Framer's built-in website analytics to provide general information about how the website is used, such as page views, traffic sources, device types and approximate geographic information.

Framer states that its built-in analytics do not use cookies or persistent identifiers and do not collect information that identifies individual website visitors. Rewired Mindset does not currently use Google Analytics or advertising or behavioural tracking technologies.

The website may use technologies that are necessary for its operation, security or functionality.

Because Rewired Mindset does not currently use non-essential tracking cookies through its analytics setup, the website does not currently display a cookie consent banner.

If additional analytics, advertising, embedded content or other technologies that require consent are introduced in the future, the website's cookie arrangements and this Privacy Policy will be reviewed and updated as necessary.

Your data protection rights

Depending on the circumstances, UK data protection law may give you rights including the right to:

  • ask what personal information I hold about you and request a copy;

  • ask for inaccurate or incomplete information to be corrected;

  • ask for your personal information to be deleted in certain circumstances;

  • ask for the use of your information to be restricted in certain circumstances;

  • object to certain uses of your personal information;

  • request transfer of certain information where the right to data portability applies; and

  • withdraw consent where processing is based on consent.

These rights are not absolute and whether a particular right applies will depend on the circumstances and the lawful basis for processing.

Complaints

If you have concerns about how Rewired Mindset has handled your personal information, please contact me first so that I have the opportunity to address them.

Changes to this Privacy Policy

This Privacy Policy may be updated from time to time to reflect changes to Rewired Mindset, the services I use or applicable data protection requirements.

The latest version will always be available on this website, with the date of the most recent update shown at the top of the page.
